Invite Your Team

As your space grows, you'll want others to help manage bookings, teach classes, or handle admin tasks. Tatiya lets you invite team members with appropriate access levels.

What You'll Do

  • Understand team roles
  • Send invitations
  • Manage team member access

Team Roles

Owner

That's you (or whoever created the space). Owners have full access to everything:

  • All settings and configuration
  • Billing and subscription
  • Team management
  • All bookings and data

Limit: One owner per space

Admin

Admins can manage most aspects of your space:

  • ✓ Manage bookings and schedule
  • ✓ Edit website content
  • ✓ Invite team members
  • ✓ View all member information
  • ✗ Cannot change billing
  • ✗ Cannot delete the space
  • ✗ Cannot remove the owner

Best for: Co-managers, lead instructors, office managers

Staff

Staff have limited access focused on day-to-day operations:

  • ✓ View the schedule
  • ✓ See who's booked for their sessions
  • ✓ Mark attendance
  • ✗ Cannot change settings
  • ✗ Cannot view financial information
  • ✗ Cannot manage other team members

Best for: Instructors, teachers, front desk

Inviting Team Members

Step 1: Navigate to Team Settings

From your dashboard, go to Settings > Team.

Step 2: Click "Invite Team Member"

You'll see a form to send an invitation.

Step 3: Enter Their Details

  • Email address — They'll receive the invitation here
  • Role — Select Admin or Staff
  • Name — So you can identify them

Step 4: Send Invitation

Click Send Invitation. They'll receive an email with a link to join.

What They'll Experience

  1. Email arrives with invitation link
  2. They click the link
  3. They sign up or sign in to Tatiya
  4. They're automatically added to your space
  5. They see your space in their dashboard

Invitation Expiration

Invitations expire after 7 days. If someone misses it:

  1. Go to Settings > Team
  2. Find the pending invitation
  3. Click Resend

Managing Your Team

View Team Members

Go to Settings > Team to see:

  • Active team members and their roles
  • Pending invitations
  • Last activity

Change Someone's Role

  1. Find the team member
  2. Click their row
  3. Select a new role
  4. Save changes
Role Changes Take Effect Immediately

When you change someone's role, their access changes right away. Make sure they know if you're adjusting their permissions.

Remove a Team Member

If someone leaves or you need to revoke access:

  1. Find the team member
  2. Click Remove
  3. Confirm the removal

What happens:

  • They lose access to your space immediately
  • They keep their Tatiya account
  • Historical data (like bookings they managed) remains
  • They can be re-invited later if needed

Best Practices

Give Minimum Necessary Access

Start with Staff role. Upgrade to Admin only when truly needed. It's easier to grant more access than to explain why you're reducing it.

Keep Your Team Updated

When you make changes—new booking types, schedule changes, policies—make sure your team knows. They're representing your space.

Review Access Regularly

Quarterly, review your team list:

  • Is everyone still active?
  • Are roles still appropriate?
  • Any pending invitations to clean up?

Common Team Structures

Solo Operation

  • Owner: You

Small Studio

  • Owner: You
  • Staff: 2-3 instructors

Growing Space

  • Owner: You
  • Admin: 1 manager
  • Staff: 5+ instructors/teachers

Multi-Location

  • Owner: Business owner
  • Admin: Location managers (one per location)
  • Staff: All instructors and front desk
