Manage Bookings

Visitors are booking your sessions. Here's how to stay on top of reservations and keep your schedule running smoothly.

What You'll Do

  • View incoming bookings
  • See who's attending each session
  • Handle cancellations
  • Use the booking dashboard

The Booking Dashboard

From your dashboard, go to Bookings > Overview to see your booking activity.

At a Glance

The dashboard shows you:

  • Upcoming sessions — What's happening today and this week
  • Recent bookings — Who just reserved a spot
  • Attendance — How full your sessions are

Today's View

The "Today" section shows:

  • Each session happening today
  • Who's booked for each
  • Current attendance vs. capacity

This is your quick reference for knowing who to expect.

Viewing Session Attendees

From the Calendar

  1. Go to Bookings > Schedule
  2. Click on any session
  3. See the attendee list

Attendee Information

For each booking, you'll see:

  • Visitor name
  • Booking time (when they reserved)
  • Any notes they added
  • Contact information (if provided)

Handling Cancellations

When a Visitor Cancels

Visitors can cancel their own bookings through their confirmation link. When they do:

  • The spot opens up for others
  • You get notified (if enabled)
  • The booking appears as "Cancelled" in your records

When You Need to Cancel a Booking

If you need to remove someone's booking:

  1. Navigate to the session
  2. Find their booking
  3. Click Cancel Booking
  4. Choose whether to notify them
Be Considerate

If you need to cancel someone's booking, a personal message explaining why goes a long way.

Cancellation Policies

Set expectations by adding your cancellation policy to:

  • Your booking type description
  • Your FAQ page
  • The confirmation message

Example policy:

"Please cancel at least 24 hours in advance. Late cancellations may result in a booking fee for future reservations."

No-Shows

When someone books but doesn't appear:

Track It

Note no-shows so you can see patterns. Consistent no-shows from the same person might need addressing.

Follow Up

A friendly message after a no-show maintains the relationship:

"We missed you at today's session! Everything okay? Let us know if you'd like to rebook."

Consider Your Policy

Some spaces implement:

  • No-show fees
  • Booking restrictions for repeat offenders
  • Waitlists that benefit from cancellations

Waitlists

When a session is full, visitors may want to be notified if a spot opens.

How Waitlists Work

  1. Session reaches capacity
  2. Visitor joins the waitlist
  3. Someone cancels
  4. Waitlisted visitors get notified
  5. First to respond gets the spot

Enable Waitlists

Waitlists can be enabled per booking type in Bookings > Booking Types > [Your Type] > Settings.

Notifications

Stay informed about booking activity.

You'll Be Notified When:

  • Someone makes a new booking
  • Someone cancels a booking
  • A session is getting full
  • A waitlisted person gets a spot

Notification Preferences

Adjust what you receive in Settings > Notifications:

  • Email notifications
  • In-app notifications
  • Daily digest vs. immediate

Best Practices

Review Tomorrow's Schedule Daily

Take 2 minutes each evening to:

  • See who's coming tomorrow
  • Spot any sessions that need attention
  • Prepare for busy days

Keep Your Calendar Current

If something changes (venue, time, cancellation):

  • Update the session immediately
  • Notify affected attendees
  • Add clear notes explaining the change

Respond to Issues Quickly

When visitors have questions or problems:

  • Respond within 24 hours
  • Be solution-oriented
  • Follow up to confirm resolution
