Work
Work is in beta. It's off until you turn it on, and it may change while we keep working on it. Turn it on in Space Settings → Features.
Running a space is more than the classes. The floor needs cleaning, the taxes need doing, the mats need replacing, and there's a public holiday coming that you're closed for.
Work is where all of that lives. It's yours and your team's — nobody who books with you ever sees it.
The three views
Everything you write down shows up in all three. They're just different ways of looking at the same list.
| View | Best for |
|---|---|
| Board | Seeing what's underway. Three columns — To do, Doing, Done — and you drag cards between them |
| Calendar | Seeing the month. What's happening on which day, and what's due when |
| List | Working through things one at a time. Tick them off as you go |
Tasks we suggest
Some cards on your board will not be ones you wrote. When we can see something still standing between your space and being ready — no payment details, no about page, only one class on the timetable — we'll suggest it as a set of tasks, and you decide whether to take them.
Nothing appears without your say-so. You'll see the suggestion first, and approving it is what puts the cards on your board.
A suggested card is marked Suggested, so months later you can still tell it apart from something you wrote yourself. It also carries an arrow that takes you straight to the screen that does the job, rather than leaving you to find it.
They're ordinary tasks once they land: rename them, give them a date, put them on someone, or delete them. And if we suggest the same thing again later, you won't get a duplicate — anything already on your board is left alone.
Adding a task
A task is something that needs doing. Give it a name — "Clean the studio floor" is plenty — and optionally:
- Notes, for anything the person picking it up should know
- A due date, if it matters when
- Who's doing it, picked from your team
Leave it unassigned if nobody has picked it up yet. An unassigned task is still a real task.
Overdue tasks show their date in red until they're done.
When you put a task on someone, they get a notice about it — so nobody has to watch the board to find out something is theirs. Putting a task on yourself sends nothing; you already know.
Use Only mine on the board to see just what's yours.
Adding to the calendar
The calendar holds things that are happening rather than things that need doing — a deep clean, a delivery, a day you're closed.
Click any day to add something to it. You can set a start and end time, or mark it All day.
On the calendar:
- Solid entries are things happening
- Outlined entries are tasks due that day
This is not your bookings calendar
Your classes and sessions live under Bookings → Calendar. That's the one your members book into.
Work's calendar is the other side of the door. Nothing you put here is bookable, nothing appears on your website, and nobody gets notified about it.
Turning it off
Switch Work off in Space Settings → Features and the section goes away. Every task and every date you've written down is kept exactly as it was, waiting for you if you turn it back on.
The board is most useful when it's honest. Write down the thing you keep forgetting, not everything you can think of.
